The Great Productivity Paradox: Why Doing More Isn't Getting You Anywhere

You’re swamped with tasks, your to-do list is longer than a CVS receipt, and you’re desperately investigating how to get more done in less time.

Welcome to the great productivity paradox: the more you try to do, the less you actually accomplish.

The common trap: more tasks, less time

Most people turn to so-called “productivity hacks” in an attempt to solve this problem. They download fancy to-do list apps, try the Pomodoro Technique, or even attempt to multitask their way through the day.

The idea? If you can cram more tasks into your already busy schedule, you’ll magically become more productive.

Cramming more tasks into your day is about as effective as trying to fit a square peg into a round hole.

It does not fit, and you damage the peg (in this case, your mental well-being) in the process. You end up feeling overwhelmed, stressed, and far from productive.

A different approach: time bundles

If the conventional wisdom doesn’t work, what does? Ditch the square peg and find the round hole.

4-step workflow: Prioritize, Batch, Boundaries, Review

This is where effective time management techniques come into play:

  1. Prioritize with the Eisenhower Box. This simple tool helps you categorize tasks as urgent and important, important but not urgent, urgent but not important, and neither. Knowing where to focus your energy is most of the work.
  2. Batch similar tasks. Grouping similar tasks together allows you to dive deep into a specific type of work, minimizing the cognitive load of constantly switching tasks.
  3. Set time boundaries. Designate specific time slots for specific tasks. Your day should not be dictated by the whims of your email inbox.
  4. Reflect and adjust. At the end of each day, take a moment to review what you’ve accomplished and what could be improved. It’s the best way to keep you out of a productivity rut.

  • List all your tasks in a to-do app.
  • Spend 30 minutes today setting up your Eisenhower Box.
